CLIENT POLICIES
1. Booking & Payment
- A non-refundable retainer of $135 is required to secure your session date. This covers time and talent. Sessions are booked on a first come, first-served basis. Your session is not confirmed until the retainer is received. Locations must be agreed upon in advance.
2. Cancellations & Rescheduling
- If you need to reschedule, please provide at least 48 hours' notice. Rescheduling is subject to availability.
- Cancellations with less than 48 hours’ notice will result in forfeiture of the retainer going towards a reschedule.
- If the photographer must cancel due to an emergency, weather conditions, or unforeseen circumstances, you may choose to reschedule or receive a full refund of any payments made.
3. Late Arrival Policy
- Sessions start at the scheduled time and typically last one hour. If you are more than 15 minutes late, your session may be shortened.
- If you are more than 30 minutes late without 24-hour prior notice, your session will be considered a no-show, and the retainer will be forfeited.
4. Image Delivery & Turnaround Time
- A proofing gallery will be available within 5-7 days after your portrait session. These are actually edited images for you to choose from. The number of images varies depending on the session. Typically, it's 20 or more images for normal portrait sessions. Fine art sessions are completely different and do not apply to this amount. Please note that you have 7 days to place your order. Proofing galleries only stay up for one week. After that, there is a re-upload fee of $25.
- The final edited images will be available for download once you’ve chosen your proofing images and payment has been made.
- Pricing on individual images or collections will be sent to you at the time of booking and again at proofing.
- Images are delivered in high-resolution digital format via an online gallery and are perfect for your printing needs (wallets, 4x6, 5x7, 8x10). Additional products can be purchased (large prints/canvas, albums, usb, etc.) and will take longer depending on production time.
5. Copyright & Image Usage
- Gina Miller Photography retains the copyright to all images and may use them for marketing, social media, portfolio, or promotional purposes.
- Clients receive personal use rights to print and share their images but may not edit, sell, or use them for commercial purposes. I recommend you print with MPix.com and not places like Walmart, CVS, Wallgreen, etc. They aren’t color calibrated like the pros!
- If you prefer your images to remain private, please notify us before your session.
6. Editing & Retouching
- Basic retouching (color correction, skin smoothing, light blemish removal) is included.
- Additional retouching (extensive edits, body reshaping, background changes) may incur an extra fee. By body reshaping, this is a nip and tuck, not to make you look 50lbs lighter.
- The photographer retains artistic control over the editing style unless otherwise discussed.
- No unedited or RAW images will be provided under any circumstances.
7. Print & Product Orders
- Print and product orders are fulfilled through a professional lab to ensure quality.
- Gina Miller Photography is not responsible for print quality if images are printed through a third-party lab.
- All print and product sales are final and non-refundable.
8. Model Release & Privacy
- By booking a session, you grant Gina Miller Photography permission to use your images for marketing, portfolio, and promotional purposes unless otherwise requested.
- If you do not wish to have your images shared, please inform us in writing before your session.
9. Client Conduct
- Clients are expected to arrive on time and prepared for the session.
- The photographer reserves the right to terminate a session without refund if the client's behavior is disrespectful, unsafe, or disruptive.
10. Refunds and Disputes
- Refunds are not provided for completed sessions or delivered images.
- If a client is dissatisfied, they must contact the photographer within 7 days of the image/product delivery to discuss concerns. The photographer will make reasonable efforts to resolve the issue.
11. Liability & Force Majeure
- Gina Miller Photography is not responsible for accidents, injuries, or property damage that may occur during the session.
- In case of an emergency, natural disaster, or circumstances beyond control, sessions may be rescheduled at the earliest availability.
12. Weather Policy (For Outdoor Sessions)
- If inclement weather occurs, the session will be rescheduled at no additional charge.
- Weather-related cancellations will be determined [8] hours before the session.
